What tools are y'all using for internal panel management? Our team is wanting to roll out continuous discovery more broadly so looking for a pretty robust research focused CRM.
Dovetail Contacts might be the solution!
I use dovetail contacts with my current workflow, its hacked together with zapier automations and spreadsheets etc. We're just wanting something further upstream to automate participant management for internal user panel
Good ol' Google Sheets 💀
lol that's what I'm using now 😭 but we're looking at setting up like 10 continuous discovery projects and I'm barely hanging on with 3 going currently
we're using Rally primarily for internal panel management, but also Snowflake on the backend
Heather S. Ashley, MLIS Nice, it seems like Rally is among the best purpose built tools for this. Do you sync any data over to dovetail automatically? One perk of our spreadsheet setup right now is that its really easy for me to get information into our global fields about like industry, segment, etc so that we then have access to those fields in search in Dovetail. But it seems like Rally doesn't have much for automations out
Danielle Morris Really curious how you've set up your sheets automation to populate global fields!
Emi Fogg at the start of a study I'll export the participant list with all of the required fields to CSV. We use cal.com for booking, and I use those webhooks to kick off a series of downstream automations in Zapier. Essentially, it matches the email from the sign up on the cal.com booking link to a row in the spreadsheet, then syncs over the accompanying columns into the appropriate fields in dovetail.
That's awesome. I wonder if there's a way to do that with the Contacts database? Would certainly save me some time
Yep! in my zap I'll have a step to Add a user to the Contacts database with that data first, then in the next step I add a note to a dovetail project. In the note fields I will have the contact, which I pull in from the previous step. I also will add in the global fields there that we don't track on a contacts level but rather the individual note level
Do you use calendar auto-import of meetings? I've found that really helpful but not sure it would jibe with this set of automations
here's a screenshot of what the zap looks like, the different branches are for when a booking is initially created, then one for reschedules, and one branch for cancellations
I dont use the calendar auto-import, partially because I dont know how I would set it up to sync the data and this setup works so well for how we currently run things
but I'm interested to learn how it works cause I assume it would probably become part of my workflow if/when we switch to a crm
This is inspiring. Thank you for sharing!
Emi Fogg if its ever something you want to set up I'm happy to schedule some time to walk you through how I have it set up
Glue and sticky tape of TypeForm, Google Sheets, Cal.com for scheduling and hubspot for the CRM.
Alex Marsh nice, I do really like hubspot. How many people do research at your company? and do you have any repository?
1 UX Designer & Researcher.... We use Dovetail for repo, and confluence for reports. I've started using confluence public sharing page as - to be frank it's hard enough getting research in front of people, let alone non IT staff to go and look at confluence. Though this creates challenges in ensuring participant privacy and security.
