Challenges in Sharing Dovetail Reports with Stakeholders: Solutions Needed

Question for researchers: How are you sharing reports from Dovetail? Currently, our team has faced challenges in sharing our reports through Dovetail and it's prohibiting us from democratizing our research. Many stakeholders are unable to access the reports because they do not have access to Dovetail, and while we can grant them "viewer" access, some encounter issues such as missing the invite email. Additionally, we are unable to make our reports public as they need to remain internal to our company. We are currently exploring the option of sharing the reports on Confluence through copy and paste, but this method does not support including videos (and my stakeholders LOVE the video/audio clips!). Any suggestions would be appreciated! Thanks in advance. 🙂

    Hi Melanie, you may wish to explore enabling SSO to make it easier for your team to join as viewers, as well as enabling JIT provisioning which will automatically create a viewer account for somebody when they log in if they don't have one already. Given Dovetail's powerful capabilities around magic search, filtering with fields and tags, video playback, etc, copying and pasting insights into Confluence isn't going to provide the best experience compared with addressing their access to the tool.

    ^^ this is what we've done. Everyone at our company is able to login w/o reaching out to IT or running into issues. Whenever I share a report, I usually add a little note for folks to sign in via Okta or Google.

    What communication application (Slack, Teams, etc) does your company use? I would share a link in 2 places:

    • channel/group chat connected to the specific effort

    • channel/group chat that you’ve designated as UX Research Updates; within the thread tag key stakeholders

    There are ways to automate this if you have certain integrations as well.

    Maegan Pisman Thank you for your response! We use Teams, and we typically share our reports with the channel/group connected to the study as well as our UXR channel. Does your team share reports in a company-wide repository like Confluence or SharePoint?

    Chiming in with a few questions as we are also wondering about that: do you have some kind of overlaps, or even redundancies between what’s in Dovetail and a formal report (like a Powerpoint presentation)? Or do you keep things separate? or maybe powerpoint presentations are a thing of the past for your team?

    Guillaume Louvel We use a research report template in Dovetail as our formal report, as well as an Executive Summary (utilizing our own template in Dovetail). We will sometimes create a deck depending on the audience, but we primarily use Dovetail for formal reports and review that with our stakeholders.

    Melanie Mauller No, because instead we had SSO + JIT provisioning. We would cite Dovetail Insights within Confluence documentation (in-line; reference list at the bottom of the page too) and when people click they are automatically able to view within Dovetail. However, we would sometimes publish certain Research documentation or presentations within Confluence.

    We have SSO implemented so there is no issues with logging in. Our new process is the following:

    • Upload report to Dovetail as an insight. We've found that sometimes Dovetail doesn't display PPTX files very well so have recently also added the link to the SharePoint file within the insight.

    • Share in Slack. We add a one-pager PDF (generally the Exec summary) and a link to the Dovetail report
