Best Practices for Structuring Workspaces and Folders

Hey everyone! I was wondering if there are any good resources or examples of how people are structuring their workspaces and folders. Im mostly looking for ideas. Is it more user intuitive to organise spaces by teams, or different areas of the product?🤔 I wondered whether structuring by teams, eg Customer Calls, Sales Calls, Product Calls may be easier to onboard the company

    Hi Shwe thank you for the ideas! I am considering a single workspace so that multi team and multi themes of work are easier to connect. I quite like the department suggestion so there could be less guesswork when people add to Dovetail, then use fields and tags to assist with organisation. If you see potential complications with the following idea, please let me know; One Workspace: Folder lvl1: Product

    • Folder lvl 2: Module #1

    • Folder lvl 2: Module #2

    Folder lvl1: Sales

    • Folder lvl 2: Module #1

    • Folder lvl 2: Module #2

    Folder lvl1: Customer success

    • Folder lvl 2: Module #1

    • Folder lvl 2: Module #2

    Folder lvl1: Marketing

    • Folder lvl 2: Module #1

    • Folder lvl 2: Module #2

    Then use fields to categorise type of call, customer account tiers. Tags for project teams, themes, sentiments

    At the foundation workshop I attended over a week ago, I learnt about global fields and global tags. Could these apply on a workspace level and used across all folders?

    Shwe That is really good to know! My team has been trialing Dovetail and in the process of getting more buy in company wide. But we don’t have a research op and from what I’ve learnt during Insight Out, its crucial to start small and have a good foundation set when it comes to folders and taxonomy. Got two quick questions: When tags and fields are created on a project level, could they be merged on a global level later? I’d love to introduce a couple of my teammates to a Dovetail expert for maybe a 20min call just to get an opinion of our foundation set up. Is this possible?

    Shwe My team has been using the same tags across multiple projects. When we use Search and access the filter from there, all the same tags show up which makes sense on the Pro plan. But to someone on the team who didn’t manage any tags, they look like duplicates in the dropdown and has caused some confusion because they didn’t know which one to select. Do you have any advice or any insights from other teams on how the same tags are handled across different projects?

    Regarding fields, when they are the same across projects on Pro and there is a desire to use the same ones globally once in Enterprise, how do most teams approach this transition?
