I’m very confused about how Outlook/Teams integration is supposed to work. I created a project, then ran through the steps of connecting my Outlook calendar, and I have it set to just import everything (which should be dozens and dozens of recorded meetings). But then… nothing happens. Is it supposed to import past meetings? Only meetings that happen after integration is set up? I’m just staring at the empty project folder, and there’s no indication of anything happening, or expected to happen. What am I missing?
Hey Jeff, Thanks for reaching out. 👋 Happy to help out! The Outlook/Teams integration only imports recordings from meetings that occur after the integration is set up. It doesn’t pull in past meetings or recordings, which is why your existing meetings aren’t showing up in the project. If you want to import recordings from past meetings, you can do this via our OneDrive integration: 1. Connect your Microsoft Account: ** Go to t ⚙ Settings →Integrations and find OneDrive. ** Click Connect, sign in, review permissions, and confirm. To import recordings or files: ** Open your project, click Data → Import, and select OneDrive as the source. ** From there, you can import Teams recordings (stored in your OneDrive Recordings folder), OneDrive files (like PDFs or presentations), or SharePoint files. Each imported file will create a note or insight in your project. This method allows you to bring in past recordings or files that were created before your Outlook integration. Let us know if there is anything else we can help with. Have a great day! 😊
Thanks. I’ll test and evaluate accordingly with future meetings, to see what happens. I also found the OneDrive import capability, but I was disappointed to see that it wasn’t “smart” enough to import meeting participant names. I was hoping integration with Teams would have that capabiity to make it more advanced that just simply exporting and re-importing video from Teams. In terms of what actually gets imported, are there any functional advantages to using Teams integration vs. just importing recordings (aside from convenience?)
Our team has received similar feedback regarding importing participant names from recordings, and we’ve logged it as a feature request for future improvements. One key advantage is that if your recordings are stored in OneDrive (for example, Teams meeting recordings), you don’t need to download them to your device and re-upload—the integration pulls them directly into Dovetail. The OneDrive import is still useful for past recordings or files, but it requires manual selection, whereas the Outlook integration ensures ongoing recordings are captured automatically.
Thanks for the info. I did do a 2 minute “test meeting” after setting up the integration, which didn’t seem to get pulled in, but maybe I’ll just see how things go with the next “real” meeting. Is there anything else important to know about imports? Is there a typical delay from when a meeting ends to when it shows up? Do they have to be a certain minimum length? Anything like that? Thanks so much for you quick responses.
Was the test meeting actually recorded? Also, can you confirm that in the Outlook integration settings, you’ve selected the correct calendar and project where you want recordings to be imported—and that the test meeting was created on that calendar?
I created the meeting in the Teams app, though it appeared on my calendar. I’m not sure if that matters... I just double-checked the connection right now and I have a meeting a little later today that I definitely set up on the connected calendar – so we’ll use that as the official first test case and I’ll let you know how it goes! Thanks
Let us know 😊
I’m still not getting anything synced to my project. I’ve had many meetings since we last messaged 😞
We'll be happy to look into this for you. To do so, could you provide us with the following: 1. The email address associated with your calendar 2. The email address connected to Outlook within integration setttings 3. Grant our team access to your workspace by completing the steps below:

OK, I granted access and jchausse@quickbase.com is the email for both the connection & calendar.
Hey Jeff, Thanks for providing that information. I checked the integrations page and see that you connected Microsoft Outlook today (Oct 28th):

Did you disconnect and integrate the connection again? Or is this the first time you connected? Can you also send us a screenshot of how you configured the calendar connection by navigating to o ⚙ Settings → Integrations → "Configure" near Microsoft Outlook. We need to see how you set this up:

Please also send a screenshot of a meeting in your calendar (showing it was recorded).
If it looks like I just set up the integration, it’s because I keep trying to set it up again and again every time I look, because I can never really tell what state it’s in. But I had definitely done it days before the meeting. Here are the screenshots you requested.
Thanks for those additional details, Jeff. Could you send us a link to the project: Jeff's Teams Meeting Sync Space? If it has permissions applied, can you also navigate to the project "Share" menu and share it with support@dovetail.com? Can you also send us a screenshot of your Microsoft Teams connection settings:

I invited Dovetail Support to the Jeff’s Teams Meeting Sync Space project. When I click the “…” next to Microsoft Teams, I just get the same screen as you but with the switch next to “Import recordings” switched on
Thanks, Jeff! I created an internal ticket so that our team can investigate. I'll follow up once I have an update 😊
